Why don’t I see an attendance in Pending Approval?
Short Answer
This usually happens for one of these reasons:
- The attendance policy is set to auto-approve, so no manual approval is created.
- The employee hasn’t checked out yet—the record will appear 1 hour after the scheduled end time.
Explanation
In Attendance BETA, a record will only show in Pending Approval when the system actually generates a manual-approval task.
There are two common scenarios where you won’t see anything pending:
- Policy is auto-approve If your attendance policy (or specific rule inside it) is configured to automatically approve attendance, the system will process it without creating a pending item.
- Employee hasn’t checked out yet When an employee has not checked out, the system treats the attendance as still in progress. To prevent premature approvals, the attendance will only be finalized and sent for manual approval 1 hour after the schedule’s end time.
Step-by-Step Troubleshooting
- Confirm whether the policy is auto-approve
- If auto-approve is enabled, the attendance will skip Pending Approval.
- Check the attendance status
- If the status is Present, it’s a sign the attendance was auto-approved or already approved by someone else (so it won’t appear in Pending Approval).
- If the status is Waiting for Check-out, the attendance is still considered ongoing. It may appear in Pending Approval after the employee checks out or 1 hour after the schedule’s end time (whichever comes first based on system processing).
- Verify the schedule end time
- Note the scheduled end time for that shift.
- Wait for +1 hour after the schedule end time
- The attendance will appear in Pending Approval after this time window (if it still requires manual approval).
Important Notes
- This is expected system behavior, not a bug.
- If the employee checks out normally, the attendance will appear according to the standard approval flow.
- This mechanism helps ensure attendance data accuracy before approval.
